Import your contacts and past transactions

Bring history from before TetherLines into your account with a CSV template, review what will happen, then import.

Data Import brings in the history you had before TetherLines, so your trends and source tracking reach back further than your first day. You download a template, fill it in, upload it, and review exactly what will happen before anything is saved.

The Data Import tab lives in Settings. Only the account owner and admins can open it. If you are an agent on a team, ask your team leader to run the import for you.

What you can import

The tab offers two kinds of data, each with its own template:

  • Contacts: past clients and sphere. Include a date added and they appear in the right month.
  • Past Transactions: closed, failed, and withdrawn deals from before TetherLines. Client names are recorded on each transaction as text; they are not linked to contact records yet.

Fill in the template

  1. Open Settings, then Data Import.
  2. On the Contacts or Past Transactions card, select Download template. The file opens in your spreadsheet app with the column headings and two example rows.
  3. Replace the example rows with your own data, one record per row, and keep the headings as they are.
  4. Save it as a CSV.

For Contacts, First Name and Last Name are required. Email, Phone, Agent, Status, Source, Address, City, State, ZIP, Date Added, and Notes are optional.

For Past Transactions, Agent, Client Name(s), Type, and Close Date are required. Type is Buy or Sell; a buy and sell pair takes two rows. Outcome is Closed, Failed, or Withdrawn, and blank means Closed. A closed transaction also needs Sold Price and Total GCI ($). Agent Net ($) is optional; when it is blank, the full commission is recorded as the agent's net. Under Contract Date, Property Address, City, State, ZIP, Source, and Notes are optional.

A few things that apply to both:

  • Agent takes a team member's full name or email. Leave it blank to record the row under your own name. A former team member has to exist under Team Members before you import their records; you can deactivate them afterwards.
  • Dates are YYYY-MM-DD or M/D/YYYY. A close date cannot be in the future.
  • If an optional field cannot be read, the row still imports without that field. If a required field is missing, the row is skipped.

Upload and review

  1. Select Upload a file on the card you filled in.
  2. Select Choose file and pick your CSV. Files can hold up to 10,000 rows; larger files are imported in batches of 1,000 automatically.
  3. Select Check file. Nothing is saved at this step.

The Review screen shows four counts: Ready to import, Need attention, Already in TetherLines, and Missing some fields. Below them, What needs a look lists each row with a problem, the column, what to fix, and the result: Skipped, Already imported, or Imported without it. Row numbers match your spreadsheet.

If there are rows to fix, select Download rows to fix. You get those rows with their original columns and a note on each, so you can correct them and upload the file again. Rows that already imported are detected and skipped, which makes re-uploading safe.

For transactions, the review also tells you how many rows had no agent net, and how many closed within the last 12 months and so count toward the current cap period.

Import

Select Import with the row count, for example Import 240 rows. When the import finishes, the Imported step shows how many records were added and how many were skipped, with an Import something else button to start again.

If a large import stops partway, the review screen says how many rows landed and offers Continue importing. It picks up where it left off and does not touch the rows already imported.

After a transactions import, progress rings read zero for any past year that has no goals set. The bar charts show the history either way.

How duplicates are caught

  • A contact is a duplicate when its email or phone matches an existing contact for the same agent. A row with neither email nor phone cannot be checked, and the review says so.
  • A transaction is a duplicate when its address and date match an existing transaction for the same agent. A row with no address cannot be checked.

Duplicates are also caught within the file itself, and they are never saved.

Remove an import

Recent imports at the bottom of the tab lists each import with what it was, when, who ran it, and how many rows were added and skipped. Select Remove import on a row to delete every record that import added. The confirmation tells you how many records go, and warns you if any have been edited since, if newer records will lose their link to these clients, or if referrals recorded against them will be deleted. Confirm with Remove import.

Removing an import does not bring back anything that existed before it, and it cannot be undone. The row stays in the list marked Removed.
