Roles reference

One table of the six roles: what each sees by default, whether it is a producing or support seat, which Settings tabs it can open, and what only the Team Leader can do.

Every member of an account has one role. The role sets which Settings tabs they can open, whether they take a producing or a support seat on your plan, and which capabilities they start with. The capabilities themselves can be adjusted on the Permissions tab; see Set what each role can do. This page is the summary.

The six roles

| Role | Seat | Sees by default | Pages open on | Settings tabs | |---|---|---|---|---| | Team Leader | Producing | The whole account, every team | Their own numbers; the Dashboard opens on Team Total | All eleven: Team Members, Lead Sources, Team Splits, Permissions, Coaching, Notifications, Calendar, Meeting, Data Import, Billing & Seats, Account | | Admin | Support | Their team | All agents | Team Members, Lead Sources, Team Splits, Coaching, Notifications, Calendar, Meeting, Data Import, Billing & Seats, Account | | Lead Buyer's Agent | Producing | Their team | Their own numbers | Team Members, Lead Sources, Team Splits, Notifications, Calendar, Meeting, Account | | Transaction Coordinator | Support | Their team | All agents | Team Members, Lead Sources, Team Splits, Notifications, Calendar, Meeting, Account | | Agent | Producing | Their team | Their own numbers | Team Members, Lead Sources, Team Splits, Notifications, Calendar, Meeting, Account | | ISA | Support | Their team | Their own numbers | Team Members, Lead Sources, Team Splits, Notifications, Calendar, Meeting, Account |

A few notes on reading the table:

  • Seat is what billing counts. Producing seats are the agents who close business, and they are what the plan's seat limit applies to. Support seats are free; see Plans, pricing, and the founding rate for how many an account can carry.
  • Sees by default is the data a role can reach. Every role starts with View team data, so by default a member sees everyone on their team; take that capability away on the Permissions tab and they see only their own records. A Team Leader always sees the whole account, and so does a member who is not placed on any team. Seeing across agents is a Team plan feature; a Solo account keeps it only while it has a single producing agent, so a support seat can still see the owner's business.
  • Pages open on is only the starting filter. Pipeline, Appointments, Transactions, Contacts, and Goals open on the signed-in person's own records for the roles that own a book of business, and on all agents for Admin and Transaction Coordinator, who rarely appear as the agent on a record. The agent picker is there either way. The main Dashboard opens on Team Total for anyone who can see team data.
  • Settings tabs lists what the tab bar shows. Everyone sees Team Members, Lead Sources, and Team Splits; what they can change there depends on capabilities, not the tab. Without Manage team members the Team Members tab has no add or edit controls, without Manage lead sources the Lead Sources tab is a read-only list, and without Modify team splits the split model is shown but cannot be edited.

Default capabilities

The defaults a role starts with, before any change on the Permissions tab:

| Capability | Team Leader | Admin | Lead Buyer's Agent | Transaction Coordinator | Agent | ISA | |---|---|---|---|---|---|---| | Manage team members | On | On | On | On | Off | Off | | Resend invites | On | On | On | On | Off | Off | | View team data | On | On | On | On | On | On | | View full commission details | On | On | Off | Off | Off | Off | | View teammates' income | On | On | Off | Off | Off | Off | | Modify team splits | On | Off | Off | Off | Off | Off | | Adjust deal commissions | On | On | Off | Off | Off | Off | | Modify commission profiles | On | On | Off | On | Off | Off | | Manage lead sources | On | On | Off | Off | Off | Off |

Who can assign which roles

A member with Manage team members can add people and change roles, within a ceiling:

  • A Team Leader can assign Admin, Lead Buyer's Agent, Transaction Coordinator, Agent, or ISA.
  • An Admin, Transaction Coordinator, or Lead Buyer's Agent can assign Lead Buyer's Agent, Transaction Coordinator, Agent, or ISA, and can only edit members of their own team.
  • No one can change their own role, and no one can assign Team Leader. That role is set when the account is created.

What only the Team Leader can do

The Team Leader is the account owner. Their capabilities are fixed and do not appear on the Permissions matrix, and a few things belong to that role alone:

  • Open the Permissions tab and change what the other five roles can do.
  • Assign the Admin role.
  • Change a Team Leader's role, status, or pay. No other role can edit the owner's record.
  • Edit team members on any team, not only their own.
  • Use Export account data on the Account tab.
  • Change the team split configuration without being granted it. Every other role starts with Modify team splits off.

Admins share the Coaching, Data Import, and Billing & Seats tabs with the Team Leader, so billing and card changes do not require the owner.
